Jakarta Provincial Government (Pemprov) continues to push the transformation of electronic records management through the implementation of the e-Office application and the Arsip Jakarta Mendunia (Arjuna) system, so that the administration’s policy records are not lost. Nasruddin Djoko Surjono, head of the Jakarta Provincial Archives and Library Office (Dipusip), said the e-Office system, which manages official correspondence and electronic document handling, is increasingly used within Pemprov DKI Jakarta. ‘Not only hundreds or thousands. In 2025 incoming mail in e-Office will reach 457,641 documents. Documents handled by staff across OPD units are entered into e-office. Previously it was around 370 thousand,’ he said at an online event hosted by the Jakarta Regional Financial Management Agency (BPKD) on Thursday. Likewise, the use of Arjuna has increased for registered documents. ‘Initially 10 thousand; by 2026 it will rise to 160 thousand documents entering our system,’ Djoko said. He noted that with the electronic systems developed, processes of correspondence, digital records management, and the use of electronic signatures can be carried out more quickly, efficiently, and be easier to access. ‘Not only a technological transformation, but a cultural transformation. What matters is disciplined use of digital tools in bureaucratic work. This will move toward a modern digital-based government,’ he said. Djoko added that digital transformation in archiving will facilitate data traceability and authentication, but it will not operate optimally if the working cultures of OPD and BUMD remain overly dependent on physical documents. ‘Therefore, I urge all regional apparatus, the OPD, including BUMD, to maximise the use of e-Office in day-to-day administrative processes,’ he said. He emphasised that the use of electronic documents through e-Office must become the new working culture of Jakarta’s bureaucracy as it evolves into a global city. ‘Thus, the processes of disposition, approval, and storage of archives can be carried out quickly, transparently, and well-documented,’ Djoko said.
