Digital Signatures and e-Meterai Reduce Document Processing Time by up to 80%

Document-based administrative processes can often act as a bottleneck for corporate operations, particularly when signing and affixing stamps must be performed manually. The digitalisation of these processes now allows companies to slash processing times while reducing various administrative stages.

This is evident in the case of PT Kiriman Dana Pandai (Kyrim), a payment service provider that also offers end-to-end expenditure management solutions. After digitalising its signing and e-Meterai affixing processes using VIDA Sign, Kyrim reduced its document processing time by up to 80%, dropping from a requirement of 1–2 weeks to just 1–3 days.

Previously, the signing and stamping process at Kyrim was conducted manually. In addition to requiring document printing and physical delivery, the company had to ensure that stamps were properly affixed before documents could be authorised.

This sequence of processes also introduced other risks, such as lost documents or the potential for information leaks during the movement and management of physical files.

Following the transition to a digital process, electronic signatures and e-Meterai can now be executed within a single platform via VIDA Sign. Beyond reducing processing time, this change has enabled Kyrim to double its document processing volume.

For companies, this shift is not merely about speed. Security aspects and ease of use for signatories are also critical considerations when selecting the technology to be utilised.

Kyrim’s Head of Legal and Compliance, Fadli Muhammad R, stated that one of the reasons Kyrim chose VIDA Sign was the availability of a web dashboard, which allows the signing process to be completed via official office devices.

With this mechanism, signatories do not need to rely on mobile applications to complete company documents.

“We chose VIDA Sign because the platform is specifically designed to be a solution for companies. Our primary consideration was not just administrative ease, but also the convenience and security for all parties involved in the signing process,” said Fadli.

The use of electronic signatures in Kyrim’s case demonstrates that document digitalisation does not stop at replacing manual signatures with electronic versions. Integration with e-Meterai allows several previously separate stages to be completed within a single digital workflow.
