Tip: Tell them how many pages your document has

JAKARTA (JP): Thanks to the increasingly widespread use of fax machines, we can now zap documents across the city, across the country or even across the world in a matter of minutes.

If you use a cover letter, you can tell the recipient or recipients of your fax how many pages you're sending out. However, if you're using Winword 6.0, there's a faster way to do this than to count the pages including the cover sheet.

First, create a header or footer on the first page of your document where you're going to put the page number. Click on View on the menu bar, then click on Header and Footer. Press the TAB key once if you want to center the page number, twice if you want to right-aligned it.

Type in "Page", and a space, then click on the icon that has the symbol "#" on it. This icon will insert the page number. Then tap the space bar once, type in "of" and tap the space bar one more time. After that, go to the menu, click on Insert, Field, Document Information, and NumPages.

This will insert the number of pages you have in the document. Your header or footer will look like this: Page 3 of 12.

Now, the recipients of your faxed document will know how many pages they are supposed to have received, even though you don't attach a cover letter.

Winword 2.0 works similarly. Next week, we'll see how this can be done in Ami Pro 3.0.
